Order Automation
Sales order automation from customer PO to ERP: the control points that matter.
Extracting a PDF is the easy part. Reliable sales order automation depends on master-data matching, commercial validation, revision handling and a safe approval boundary before ERP posting.
Treat the source document as evidence.
Keep the original customer PO attached to the workflow. Every extracted customer, SKU, quantity, unit or price value should be reviewable against the source when confidence is low or a business rule fails.
Build the pipeline in layers.
- 01
Document intake
Accept the supported PDF, spreadsheet or scan format and attach source metadata.
- 02
Extraction
Convert relevant fields into a defined schema without silently inventing missing values.
- 03
Master-data matching
Resolve customer, delivery location, SKU and unit relationships against known records.
- 04
Commercial validation
Check price, terms, quantities, duplicates, revisions and configured order rules.
- 05
Human approval
Route unresolved or material exceptions to an authorised user.
- 06
ERP preparation
Send only approved, validated order data through the supported integration.
Master-data matching is usually the hardest part.
Customers may use their own product codes, abbreviations or unit conventions. A model can suggest a match, but the application still needs durable mappings and a process for unknown values.
- Store customer-specific aliases where they are verified.
- Do not create a new SKU automatically because text looks similar.
- Treat unit conversions as explicit rules.
- Separate fuzzy suggestions from confirmed mappings.
Duplicate and revision handling cannot be an afterthought.
The same PO may arrive twice or a revised version may use the same business reference. The system should distinguish retry, duplicate and revision instead of creating another order each time.
- Use customer + PO reference + version context where available.
- Hashing a file alone is insufficient when a revised PO legitimately changes content.
- Record the relationship between original and revised documents.
- Make the user decide how a revision affects an already-created downstream order.
Human review should be targeted.
If every order needs full review, automation has not removed much work. If no order can be reviewed, the system is unsafe. The goal is a narrow exception queue with enough evidence to make the decision quickly.
Measure accuracy at the workflow level.
Field extraction accuracy alone is not enough.
Track master-data match confidence and correction rates.
Track duplicate/revision errors.
Track exceptions by reason.
Track downstream posting failures separately from AI extraction quality.
